Open Position - eCommerce Coordinator

If all things marketing, web, business, or information systems light your fire, this could be the position for you! In this position, your focus is on bridging the gap between store and warehouse web fulfillment team, and ensuring team is providing customers with high-touch “White Glove” service that rivals any other web experience.

Typical Duties Include:

  • Your office is located at our Germantown store and you are the general web liaison helping to ease the communications between store and warehouse web team 
  • Pull all orders as they come in, update Shopify as they come in, manage all open orders until they are shipped by warehouse team.
  • Ensure customers who are waiting on special orders have a high level of communication
  • Be accountable for managing up to 300+ open orders during any given week. It's your job to ensure customers are getting updates on their orders, answers to their questions, and their products shipped in a timely manner
  • Chat/Phone First Line of Support
  • In-store pickup leader, prepare any local pickup orders immediately
  • Upsell/Cross-sell in certain situations, enter sales leads in our system, recover abandoned carts
  • Wow customers consistently and often with quick/exceptional customer service and anticipating and meeting customer needs
  • Large order and VIP customer “white glove” services.
  • Improve Customer Retention, monitor KPIs such as Average Order Value, Customer Repeat Rates, Conversion Rate, etc.
  • Innovate - come up with new and better ways of doing things

Open Position - eCommerce Fulfillment Specialist

Typical Duties Include:

  • Pull all web orders from the previous night, then prioritize and package orders ready to ship 
daily
  • Transfer orders to warehouse each morning for shipping
  • 
Manage all local deliveries - Prepare routes using software and deliver bridal and local delivery orders 2-3 afternoons per week
  • 
Manage hold shelf of incomplete orders
  • 
Maintain and order fulfillment supplies
  • Maintain shipping and labeling software
  • Analyze shipping costs for ownership and provide ideas for cost reductions
  • Handle all shipping claims and ensure that claims are paid by shipping carriers
  • Be the first point of contact for all shipping and freight quotes for store team
  • Maintain a certain fulfillment error rate and explore/present ideas for improvement
  • Innovate and come up with new ideas

Open Position - Marketing Coordinator

How would you like to be a driving force behind one of the most well-known and creative boutique brands in the Memphis area? How would you like to plan, organize and execute marketing promotions and digital media seen by 20,000+ people on a daily basis? Bella Vita is looking for a highly-detail-oriented Marketing Coordinator, who loves getting the creative juices flowing and enjoys consistently wearing the hat of both organizer and brainstormer. We appreciate clever, new ideas, concise communication, and thorough planning and organization. If you do too... this full-time position is for you!

Typical Duties Include:

  • Communicating with web team, social media team, videographers, and designers to ensure that all digital media is in line with current promotions and events
  • Work closely with ownership to plan marketing activities and maintain marketing calendars 
  • Write basic copy for emails and social media posts when needed
  • Provide oversight and direction of all marketing activities on a daily basis
  • Assist visuals team to plan, prepare and execute weekly photoshoots
  • First responder to all customer inquiries via social media during the day and after hours
  • Manage all in-store events
  • Brainstorm with ownership and leadership team on new marketing efforts

    Open Position - Inventory Coordinator

    In this position, you'll be responsible for basically helping to maintain the inventory coming and going in our system. Typical duties might include:

    • Placing special orders for our customers with vendors for the website and our physical store. Update customers frequently on status of their special orders.
    • Maintain and prioritize ongoing list of stock and special order needs; work with ownership to place orders based on cash flow situation
    • Receive products into the system as they arrive, print tags, match up invoices to actual products received to ensure correct inventory
    • Process and maintain damage claims with vendors
    • Assist with our inventory system maintenance, large price changes, product updates from vendors
    • Maintain expert knowledge of all of our vendors and their specific policies and ordering rules
    • Attend weekly inventory meeting and provide reports on customer special orders and their status

    Open Position - Delivery Driver

    Checking the front porch incessantly. Waiting for an email delivery confirmation. We all know the excitement and anticipation of waiting for a package to arrive. Want to help bring the beautiful life to customers’ homes? Be the bringer of cheer as a part-time delivery driver for Bella Vita. Light up customers’ faces when you make local web order deliveries Tuesday and Thursday afternoons and Fridays deliver bridal registry orders to our lovely Bella Vita brides. There will also be sporadic errands to run when preparing for events or other special occasions, and some merchandise will need to be picked up from local vendors.

    Responsibilities:

    • Roughly 10 hours per week, typically 2-3 afternoons.
    • Preferred availability is Tuesday, Thursday and Friday afternoons.
    • Excellent driving record is critical.
    • Must be able to lift 50 lbs.

    Open Position - Bookkeeper/Accountant

    Do you believe that numbers don't lie? Do you prefer numbers over letters? Does the mere mention of things like payroll, reconciliation, and balance sheets get you fired up? Have you ever been called a Bean Counter, Ledger Lover, Counting Consultant, Accountaholic or a Dealer-in-Debits-and-Credits? Are you the most detailed person you know? Keep reading sister…. In this position, you'll be key in helping us to take care of all accounting/bookkeeping duties as quickly and efficiently as possible, as well as report to ownership on a monthly basis with reports and any other data needed to make sound business decisions.     MUST HAVES
    • Must be looking for something more meaningful than a JOB
    • Must love working with small, growing businesses with dedicated owners

    • Knowledge of Quickbooks and Excel is preferred, but not required
    • Must love the sometimes-chaotic atmosphere of small business (i.e, must be able to wear different hats)


    Typical duties include:
    • Preferably full time, but will consider 25-30 hours per week. We are flexible as long as your schedule is consistent
    • Our accounting office is located at 7846 Trinity Rd., Cordova TN.
    • Position will work with our current bookkeeper and CPA to prepare financial reports, resolve accounting discrepancies, and maintain an organized file system for 2 businesses and 3 locations.
    • Review and maintain contact with "high volume" vendors to ensure accurate billing and review open balances
    • Prepare general financial statements(Balance Sheet, Income Statement, etc)
    • Process expense reports, categorize expenses, file away properly
    • Meet with ownership monthly to review financials
    • Assist with pulling various reports for management and ownership
